Terms & Conditions

Sol Glass Works – Stained Glass Commissions, Restoration & Repairs
London, United Kingdom

Please Read Before Commissioning

By submitting an enquiry or commissioning work from Sol Glass Works, you confirm that you have read and agree to the following terms.

1. Nature of Bespoke Work

All pieces are custom-made to order.

As such, commissions are non-returnable and non-refundable once production has begun.

2. Project Commitment

Once a commission is confirmed and work has begun, the project is considered active and cannot be cancelled.

Full payment is required upon completion.

3. Design Process & Approval

Larger / Architectural Commissions

A design stage is provided, and you will have the opportunity to review and approve the design before production begins.

This may include discussion of colour direction, where you can choose specific colours or provide guidance.

Once approved, the design — including overall composition and colour direction — is considered final.

Smaller Commissions

For smaller pieces, there is no separate design approval stage.

Designs and colour compositions are developed based on references, discussions, and artistic interpretation.

By proceeding, you understand that:
• no formal sign-off stage applies unless agreed in writing
• the final piece is an interpretation of the references provided

Any approvals or changes must be confirmed in writing (email is sufficient and considered binding).

4. Colour & Material Decisions

Where colour selection forms part of the process, this takes place before production begins.

Clients may choose specific colours or provide general direction, depending on the project.

Once colours and materials have been agreed, or once production begins, no further changes can be made.

Glass may appear different depending on lighting conditions and placement.

5. No Changes After Production Begins

Once glass has been cut or production has begun, no changes to design, colours, or materials can be made.

Any requested changes would require reconstruction and are treated as new work, where possible.

6. Deposit & Payment

• A 50% non-refundable deposit is required to secure your commission
• The remaining balance is due upon completion
• Payment is required before collection, delivery, or installation
• The final balance must be paid within 7 days of completion notice

Completed work will not be released, delivered, or installed until full payment has been received.

Late payment may result in delays or storage fees.

7. Quote Validity

Quotes are valid for 30 days unless otherwise stated.

8. Ownership of Work

All work remains the property of Sol Glass Works until full payment has been received.

9. Timeline & Deadlines

Timelines are estimates and may vary depending on workload, material availability, or other factors.

Deadlines must be agreed in writing before work begins.

Deadlines introduced after the project has started cannot be guaranteed.

10. Measurements & Site Responsibility

Where measurements are provided by the client or a third party, accuracy is the client’s responsibility.

Any remakes or adjustments required due to incorrect measurements may incur additional costs.

Clients are responsible for ensuring the site is suitable and ready for the work.

11. Installation & Access

Clients must ensure safe and suitable access for installation or repairs.

Where additional access (such as scaffolding) is required, this must be arranged by the client unless agreed otherwise.

If access is limited, work will be carried out within what is safely and reasonably accessible.

12. Installation, Repairs, Clean-Up & Surrounding Finishes

Care is taken to protect the surrounding area during all work.

Work areas will be left clean and tidy, and any waste directly related to the glass work will be removed.

Due to the nature of stained glass work:
• Existing paint, putty, or surrounding finishes may be affected during removal, refitting, or on-site repairs
• Some areas may not be accessible during the work (for example, external sides or higher sections)

Sol Glass Works does not carry out painting, decorating, or cosmetic touch-ups.

Surrounding finishes are outside the scope of the work and may require separate attention if needed.

13. Repairs & Glass Matching

Repairs aim to achieve the closest possible match.

Exact matches cannot be guaranteed due to variations in glass availability, age, and manufacturing.

14. Repairs & Existing Condition

Stained glass panels, particularly older ones, may have underlying weaknesses that are not fully visible before work begins.

While care is taken, additional issues may become apparent during the repair process.

Fragile or previously damaged glass may crack or break during removal or repair despite careful handling.

Any additional work required will be discussed and may incur additional costs.

15. Glass & Material Characteristics

Stained glass is a handmade material and naturally includes variations such as:
• lines, ripples, or bubbles
• differences in tone or texture
• minor irregularities in lead lines or finish

These are part of the material and not considered defects.

16. Guarantees

All work is carried out to a professional standard.

However, no guarantee is provided against future breakage, accidental damage, or external factors affecting the glass after completion.

For repairs, surrounding original glass and lead may already be aged or delicate, and their long-term condition cannot be guaranteed.

Where double glazing or other glass units are supplied, any applicable guarantee is provided by the manufacturer.

17. Delivery & Shipping

Delivery or shipping can be arranged at an additional cost.

Shipping methods are selected based on what is most suitable for the piece.

Once dispatched, responsibility transfers to the client.

Sol Glass Works is not responsible for courier delays, loss, or damage in transit.

18. Storage

Completed work should be collected or arranged within 14 days of completion notice.

Storage fees may apply beyond this period.

19. Communication

Timely communication is required throughout the process.

Delays in responses may result in rescheduling.

20. Cancellation Policy

• Deposits are non-refundable
• Cancellation is only possible before production begins
• Once work has started, full payment is required

21. Third-Party Handling

Sol Glass Works is not responsible for damage caused by third-party handling, installation, or modification after completion.

22. Design Ownership

All designs remain the intellectual property of Sol Glass Works.

They may not be copied or reproduced without permission.

23. Use of Images

Completed work may be photographed and used for portfolio and marketing purposes.

24. Legal

These terms are governed by the laws of England and Wales.

Custom-made goods are exempt from standard cancellation and return rights once production has begun.
